Host an Open House

This page is for agents who want to host open houses for other agents in their brokerage. It covers finding an open house, getting confirmed, preparing, running it, and reporting back to the listing agent.

Find open houses on the board​

  1. In the sidebar, click Open Houses
  2. Open the Browse tab

Browse lists every upcoming open house in your brokerage that's on the board. Use the filters at the top to narrow the list:

  • Search listings…: by address, city or listing agent
  • City: one or more cities
  • Property type: one or more property types
  • Date range: next 7, 14 or 30 days

Your own posts show in grey with Your listing in place of an action. Click any open house to see its details, the listing agent's notes and, when available, View listing images. Click the listing agent's name to see their contact details.

Request to host​

  1. On Browse, click the open house
  2. Click Request to host
  3. Add a message for the listing agent (optional), e.g. why you're a good fit or how familiar you are with the area
  4. Click Submit request

The open house now shows as Requested on Browse and under Hosting → Upcoming. The listing agent is notified. Only they can see your message.

Changed your mind? Click Withdraw on the open house under Browse or Hosting, then confirm.

If the listing agent picks someone else, you'll get a notification and the request disappears from your list.

Respond to an invitation​

If a listing agent invites you directly, you'll get a notification and email. The open house shows as Invited under Hosting → Upcoming. Open it to read any message the listing agent included.

  • Accept: you're confirmed as the host immediately. The listing agent is notified, and anyone else they invited is told the spot is filled.
  • Decline: add a reason (optional) and click Decline invitation. The listing agent is notified and sees your reason.

Listing agents find hosts by looking at posted availability. Add your availability to get more invitations.

Once you're confirmed​

When you're confirmed, the open house appears under Hosting → Upcoming with the status Confirmed, and an Open House event is added to your Reach calendar with a Hosting for [listing agent] badge.

Click the open house to open your hosting tools:

Your InfoPack​

When you're confirmed, you get your own copy of the listing agent's InfoPack. Its listing details, photos and video come from the listing agent. The agent info, branding and contact details are yours, so the InfoPack presents you as the agent.

  • Edit InfoPack: change your copy however you like. Your changes don't affect the listing agent's InfoPack, and changes they make later don't flow into yours.
  • Share InfoPack: send your InfoPack's public link or QR code. Anyone who registers through it becomes a lead in your Reach account.
  • Create InfoPack: shown instead of Edit InfoPack if the listing had no InfoPack when you were confirmed. Click it to create your copy, then edit it as usual.

Message the listing agent​

Use the Messages section on the open house, or go to Activity → Messages, to talk with the listing agent about access, timing and anything else. See Messages and Notifications.

Run the open house​

Click Manage open house to open the guest-tracking dialog for your event. Add attendees and notes during the open house, just like you would for one of your own listings. Guests who sign in using the QR code on your InfoPack show up here as Registered.

For how that dialog works, see Managing an Open House. The only differences when you're hosting:

  • The second tab is Feedback for listing agent instead of Feedback for seller portal.
  • Your summary goes to the listing agent, not to the seller. The listing agent decides what reaches the seller.

Submit your feedback​

After the open house ends, the status changes to Feedback required.

  1. Open the open house and click Manage open house
  2. Go to the Feedback for listing agent tab and write your Open house summary. You can draft it at any time, but you can only submit after the open house ends.
  3. Click Submit to listing agent, or Save + submit to listing agent if you have unsaved changes

The listing agent receives your guest count and summary, and your status changes to Submitted feedback.

Need to correct something? Edit and click Resubmit. If you've saved edits without resubmitting, your hosting view shows an Unsubmitted changes badge as a reminder.

Request to cancel​

Hosts can't cancel on their own. Instead, you ask the listing agent to release you.

  1. Open the open house and click Request to cancel hosting
  2. Enter a reason (required), e.g. "I have a family emergency"
  3. Click Send request

The open house shows Cancel requested until the listing agent responds. You stay the host until they approve. If things change, click Withdraw request to stay on as host.

When the listing agent approves, the open house moves to Hosting → Cancelled and your calendar event is removed.

note

If the listing agent removes you as host or cancels the open house, you'll be notified. The open house moves to Hosting → Cancelled, along with their reason if they gave one.
